Expensorr vs Zoho Expense: Records or Reports?

Zoho Expense and Expensorr are both competent at the same ten seconds of work: get a receipt off a table and into a system. Everything before and after those ten seconds is different. Zoho Expense builds an expense report, routes it for approval, and reimburses it. Expensorr writes a line in a personal ledger and attaches the receipt to it. If there is nobody to approve or reimburse anything, most of what you are comparing is machinery you will never start.

What Zoho Expense costs today

Zoho's pricing page lists three plans:

• Free — $0, maximum 3 users. Receipt capture with AI-powered OCR, expense reports, expense tracking via personal cards, mileage via GPS, accounting integrations, global tax compliance, multi-factor authentication, multi-currency expenses, customer and project tracking, a basic audit trail, 5 GB of receipt storage, and email support.
• Standard — $4 per user a month billed monthly, or $3 billed annually. Adds itemised OCR in 38+ languages, corporate card management with real-time Visa and Mastercard feeds, multiple expense policies, custom user roles, cash advance management, ACH payments, direct bank reimbursements, single sign-on, and Zia AI features.
• Premium — $6 per user a month billed monthly, or $5 billed annually. Adds employee self-booking, access to global hotel and flight inventory, an in-built travel desk, GSA-compliant per diem, multi-entity management, and visa automation.

Yearly billing is advertised as saving up to 25%, the trial is 14 days with no credit card, and additional users are charged at the same per-user rates. Zoho notes that you can add as many users as you like, but any user who creates an expense or an expense report is charged.

The number that matters more than the price is the scan limit. Zoho states 20 Autoscan receipt scans per user a month on Free and Trial, 200 on Standard, and 1,000 on Premium, and says that once the limit is reached you can still create expenses manually or upload receipts for recordkeeping.

The difference in one table

The real question is the shape, not the price

Both products are free at the volume a sole trader works at. So price cannot decide this, and anyone telling you Zoho Expense is expensive for freelancers has not read the pricing page.

What decides it is the object at the centre. In Zoho Expense, that object is the expense report: a batch of expenses, submitted, checked against policy, approved, then reimbursed. Every strong feature radiates from it. Policy engines exist because an employer sets rules. Approval chains exist because a second person signs off. Per diem, cash advances, and corporate card feeds exist because the money was never yours to begin with. Zoho now describes the product as AI-native travel and expense management, with booking across airlines and hotels sitting alongside the expense side, which tells you plainly which direction it is being built in.

For a freelancer, none of those conditions hold. The money was always yours, nobody approves anything, and reimbursement is a word for moving money between your own accounts. What is left is the part Zoho does not emphasise: keeping a defensible record of what was spent, with the evidence attached, organised so an accountant can read it in January.

Expensorr is built around that object instead. Photograph or upload a receipt and the merchant, date, total, and a suggested category come back as a draft transaction you confirm. Say what you spent and the amount, merchant, and category are parsed out of the sentence. Wallets keep cash and card balances separate, labels tag a transaction by client, project, or trip independently of its category, budgets track category limits against real transactions, recurring entries handle retainers and subscriptions, and 75 currencies are recorded natively with conversion. Existing history comes in from CSV, XLSX, or XLS.

Where Zoho Expense is the better product

Not a hedge. These are situations where installing Expensorr would be a mistake.

• Anyone other than you submits an expense. A subcontractor, a virtual assistant, a spouse on the payroll. The Free plan covers up to three users and handles submission and approval properly. Expensorr has no concept of a second person at all.
• You have a corporate card to reconcile. Real-time Visa and Mastercard feeds on Standard are worth $3 a user a month on their own, and no personal tracker replaces a card feed.
• You travel on business seriously. Self-booking, global hotel and flight inventory, a travel desk, and GSA-compliant per diem are specialist tools. If you use them, you are not shopping in this category.
• You want your expenses to land in your accounting system automatically. Zoho lists accounting integrations on every plan, including Free. Expensorr has none; you export and your accountant imports.
• The rest of your business runs on Zoho. If Zoho Books or Zoho CRM is already your spine, staying inside one suite beats any feature difference on this page.

Where Expensorr fits better

• You are genuinely alone in the business. No approver, no policy, no reimbursement. The report is a ritual with no audience, and dropping it saves an hour a month.
• Cash is part of how you spend. Expensorr treats manual and scanned entry as the normal path rather than the fallback, and wallets keep a cash balance honest.
• You want capture to take two seconds. Voice capture exists precisely for the walk back to the car, and scanning reads JPG, PNG, HEIC, HEIF, PDF, DOC, and DOCX because receipts arrive in whatever format the merchant chose.
• You split costs with people. Split any expense evenly, by shares, or by exact amounts, then settle net balances. This sits outside the expense-report model entirely.
• You work across currencies. 75 of them, converted, which matters if you invoice in one and pay suppliers in another. Tracking expenses in multiple currencies covers the mechanics.

What Expensorr does not do

Expensorr does not connect to your bank, so there are no card feeds and no automatic import. It does not file taxes or calculate deductions; it keeps records your accountant works from. It has no team accounts, employee roles, or approval workflows, no per diem, no travel booking, no multi-entity support, and no accounting integrations. Every one of those is a real Zoho Expense capability with no answer here.

Every Expensorr feature is free, including unlimited wallets, budgets, labels, splits, and 75 currencies. The free plan includes 20 AI receipt scans or voice captures a month, and the paid tier lifts that limit and changes nothing else.

If you are leaving Zoho Expense

1. Export while the account is live, and keep the file somewhere that is not the app you are leaving.
2. Download the receipt images separately. The Free plan includes 5 GB of receipt storage, and those images are part of your records whether or not they come out with a spreadsheet export.
3. Decide whether you still need reports at all. That decision saves the time, not the switch.
4. Rebuild categories deliberately. A dozen is usually right, and Zoho's defaults are shaped by an employer's policy rather than your work. Expense categories that actually work is the short version.

The decision, in one line

Stay on Zoho Expense if there is a second person, a card feed, or a travel programme involved, because it does those jobs properly and its Free plan already covers up to three users. Choose Expensorr if you are one person who needs the spend, the receipt, and the client it belongs to recorded reliably, and the approval machinery was only ever in the way.
