How to Track Expenses From Receipts Without Typing Anything

The reliable way to track expenses from receipts is to photograph each receipt the moment you get it, let AI extract the merchant, date, and total into a draft, then review those drafts in one weekly batch rather than entering each one by hand.

Key takeaways

  • Photograph each receipt right away; AI extracts merchant, date, and total into a draft for review.
  • Review scanned drafts in one weekly batch instead of entering each receipt by hand as it arrives.
  • Keep the category list short and let labels carry context like trips, clients, or projects.
  • Attach the receipt image to the transaction, since a number with no document behind it is not a record.
  • Voice capture handles cash purchases, split fares, and tips that never produce a receipt.

Most expense tracking fails for the same reason: manual entry. You save the receipt, promise to enter it later, and later never comes. The fix is not more discipline — it is removing the typing step.

The three-second capture

The moment you get a receipt, photograph it in the app. That is the entire capture step. Extraction runs in the background and produces a draft transaction with:

  • Merchant — read from the header of the receipt
  • Date — the transaction date, not the day you scanned it
  • Total, tax, and tip — parsed separately so your reporting stays accurate
  • Suggested category — inferred from the merchant and line items

You are not entering data. You are approving it.

Review in a batch, not one at a time

Scanning is fast; reviewing is where people lose time. Do it in a batch. Once or twice a week, open your drafts and confirm them in a single pass. Because each draft already has a merchant and amount, the only real decisions left are the category and which wallet it came from.

Two habits make this pass quicker:

  1. Keep your category list short. Fifteen categories you actually use beat sixty you have to hunt through.
  2. Let labels carry the detail. Categories answer "what kind of spending is this?" Labels answer "what was this for?" — a trip, a client, a project. Mixing the two into one giant category list is what makes people abandon tracking.

Attach the receipt to the record

Keeping the image attached to the transaction matters more than it seems. At tax time, or when a charge is disputed, the question is never "how much was it" — it is "prove it." A transaction with the original receipt attached is evidence. A transaction with a number typed into it is a memory.

This is not merely good hygiene. The IRS names sales slips, invoices, receipts, deposit slips, and canceled checks as the supporting documents that substantiate what you report, and generally expects them kept at least three years after filing — longer in some situations (IRS Publication 583). A number with no document behind it is not a record.

Handle the receipts you never get

Not every expense produces a receipt. Cash at a market, a split cab fare, a tip. For those, voice capture is faster than a form: say what you spent and the app parses the amount, merchant, and category out of the sentence.

What good looks like after a month

You should be able to answer three questions without opening a spreadsheet: what did I spend by category, which wallet is draining fastest, and what do I owe or get back from other people. If a tracking setup cannot answer those three, it is filing, not tracking.

Frequently asked questions

Can I scan a receipt instead of typing an expense?

Yes. Expensorr reads the merchant, date, total, tax, and line items from a photo or PDF of a receipt and pre-fills a transaction for you to confirm.

Does receipt scanning work on crumpled or faded receipts?

Usually. Extraction quality drops on badly damaged receipts, so Expensorr always shows the extracted fields for review before saving rather than saving silently.

What file types can I upload?

Photos taken in the app, images from your library including HEIC, and PDF receipts or statements.
