Best Receipt Scanner Apps
The best receipt scanner depends on volume and workflow: Shoeboxed if you still have physical receipts to mail in, QuickBooks Solopreneur or Zoho Expense if the scan needs to land in bookkeeping you already use, Expensify if a client reimburses the expense, and Expensorr if you just want every receipt captured and organised with no bank feed attached.
Key takeaways
- QuickBooks Solopreneur's free tier caps receipt scanning at 2 a month; its Lite plan at $20 a month removes the cap.
- Zoho Expense's free plan allows 20 scans per user a month for up to three users, rising to 200 on the $4-a-month Standard plan.
- Shoeboxed is the only app here that still processes physical mail: its Magic Envelope service scans paper receipts you post to them.
- Expensify's free personal account includes unlimited SmartScans but no categories, which need a paid $5-a-month workspace to unlock.
- Expensorr's free plan includes 20 AI receipt scans or voice captures a month, with every other feature free on both tiers.
A receipt scanner does one specific job: turn a photo or a piece of paper into a merchant, a date, a total, and sometimes a category, without you typing any of it. Past that, the six apps below diverge on volume, price, and what happens to the data once it is extracted — whether it lands in a personal record, an invoice, or a bookkeeping file your accountant already uses.
What each app actually scans, and for how much
Where does the receipt need to end up?
| Free scans/mo | Cheapest paid plan | Paper mail-in | Built for | |
|---|---|---|---|---|
| QuickBooks Solopreneur | 2 (1 user) | $20/mo, unlimited | No | A bookkeeping file for your accountant |
| Zoho Expense | 20/user (3 users) | $4/mo/user, 200 scans | No | Reports with an approver in mind |
| Wave | 0 (Starter has none) | $8-11/mo add-on, unlimited | No | Free invoicing, paid receipts |
| Expensify | Unlimited, no categories | $5/mo/member, adds categories | No | Client-reimbursed expenses |
| Shoeboxed | None (no free tier) | $9/mo, 30 digital + 20 paper/yr | Yes, Magic Envelope | Clearing a backlog of paper |
| Expensorr | 20 (AI scans or voice, combined) | None — free stays free | No | Records, no bank feed |
QuickBooks Solopreneur, if the scan needs to become a bookkeeping file
Intuit's Solopreneur page caps its Free plan at 2 receipt uploads a month, alongside 5 mileage trips and 2 invoices. Lite, at $20 a month list (50% off for the first three months in the current promotion), removes the cap entirely and adds Expert Assisted Tax powered by TurboTax.
Two scans a month will not track a working freelancer's spending — it exists to show you the extraction quality before you pay. If your accountant already works in QuickBooks, though, a scan on Lite lands directly in the same file they use, which is worth more than a higher free limit elsewhere. QuickBooks Self-Employed alternatives covers the wider transition if you are moving off the older product.
Zoho Expense, the largest free allowance here
Zoho's pricing page lists a Free plan for up to three users with AI-powered receipt capture at 20 scans per user a month, plus mileage tracking, multi-currency expenses, and 5 GB of receipt storage. Standard, at $4 a month per user billed monthly (or $3 billed annually), raises the limit to 200 scans per user a month and adds card feeds.
Twenty scans a month, per user, with three users on the free plan, is the highest free ceiling on this page by a wide margin — and it is real AI extraction, not a manual entry form. The trade-off is the same one every Zoho Expense comparison makes: the product is shaped around expense reports and an approver, so a solo user is working inside a workflow built for someone else. Zoho Expense alternatives goes deeper on that gap.

Wave, if you already use it for invoicing
Wave's pricing page does not include receipt scanning on the free Starter plan at all — Starter covers invoicing and bookkeeping records, not receipts. Scanning is either bundled into the $19-a-month Pro plan as unlimited digital receipt capture, or bought on its own as a Receipts add-on at $8 to $11 a month depending on the current promotion.
This only makes sense as a choice if you are already using Wave for invoicing and books and want receipts in the same place. As a standalone scanner it is the most expensive option here relative to what it does, since the base plan gives you nothing to scan with.
Expensify, if a client is reimbursing the expense
Expensify's free personal account includes unlimited SmartScans and email-forwarded receipt scanning at no cost — genuinely unlimited, no monthly cap. What it does not include is categories or tags, which require a paid workspace at $5 per unique member a month (Collect), per Expensify's pricing documentation.
That makes Expensify's free tier the best pure scan-and-store option on this page if you never need to organise what you scanned — every receipt gets extracted and archived, but sorting them by client or category costs $5 a month. It is the right tool specifically when a client's finance team wants a formal expense report back from you; Expensify alternatives for freelancers covers what to use when there is no such client.
Shoeboxed, if there is still paper to deal with
Every other app here assumes you have a phone and a receipt in front of you. Shoeboxed's pricing page is built for the pile of paper receipts you have not photographed yet: Starter is $9 a month ($97 a year) for 30 digital scans a month and 20 paper scans a year, plus one Magic Envelope a year — a prepaid envelope you fill with paper receipts and mail to Shoeboxed, which scans and digitises them on your behalf. Pro at $29 a month (200 digital scans, 20 paper scans a month, one envelope a quarter) and Plus at $79 a month (750 digital scans, 50 paper scans a month, one envelope a month) scale the mail-in frequency up with the price.
Nothing else on this page does the mail-in scanning. If your problem is an actual shoebox — a drawer, a glovebox, a folder nobody has opened since spring — this is the honest recommendation, and app-based scanning does not solve it, because you still have to photograph each receipt yourself before any app can read it.
Expensorr, for capture without a bookkeeping module attached
Photograph a receipt and the merchant, date, total, and a suggested category come back as a draft transaction you confirm; say what you spent out loud and it parses the amount, merchant, and category from the sentence, which covers the cash purchases and tips that never produce a receipt to scan. Accepted formats are JPG, PNG, HEIC, HEIF, PDF, DOC, and DOCX. The free plan includes 20 AI receipt scans or voice captures a month combined, and every other feature — wallets, budgets, labels, splits, recurring transactions, 75 currencies — is free on both tiers; the paid tier only lifts the monthly AI allowance.
The difference from the bookkeeping-shaped tools above is what happens after the scan. There is no invoice module, no expense report, no approval step — the draft becomes a transaction, labelled by client or project, sitting in your own records. How to track expenses from receipts walks through the full capture-to-record workflow, and expense tracking for freelancers covers what to do with the records afterward.

What scanning does not do
Scanning is not filing. None of these six apps calculates a deduction or submits a return — QuickBooks Solopreneur's Lite plan bundles Expert Assisted Tax as a separate add-on service, but the scan itself is only ever an extracted transaction. Your accountant or tax software still does the filing; check your own situation with them.
Expensorr specifically does not connect to your bank. Every transaction, scanned or otherwise, arrives by scanning, voice, spreadsheet import, or manual entry — never automatically from a linked account. QuickBooks, Wave Pro, and Expensify's paid tiers all pull transactions from a bank feed in addition to scanning; if that is what you need, one of those three is the better fit. Expensorr also has no team accounts or approval workflows, which rules it out for anything beyond one person's own records.
Choosing in one line
Pick Shoeboxed if there is a real pile of paper receipts to clear, QuickBooks Solopreneur or Zoho Expense if the scan needs to land straight in bookkeeping you already use, Expensify if a client's finance team wants a formal report back, and Expensorr if what you actually want is every receipt — photographed or spoken — captured as a labelled, organised record with no bank feed and no bookkeeping module attached to it. Expensorr for freelancers covers that workflow in more detail.

Frequently asked questions
What is the best receipt scanner app?
It depends on volume and where the scan needs to go. Shoeboxed handles physical mail-in receipts, QuickBooks Solopreneur and Zoho Expense feed straight into bookkeeping, Expensify suits client-reimbursed expenses, and Expensorr suits capturing and organising receipts with no bank feed involved.
Is there a free receipt scanner app?
Several offer a genuine free tier: Zoho Expense allows 20 scans per user a month for up to three users, QuickBooks Solopreneur Free allows 2 a month, Expensify's free personal account has unlimited SmartScans but no categories, and Expensorr's free plan includes 20 AI receipt scans or voice captures a month with every other feature free.
Can I scan paper receipts I've already collected, not just new ones?
Shoeboxed is built for exactly this. Its paid plans include a Magic Envelope — a prepaid envelope you mail physical receipts to, which Shoeboxed scans and digitises on your behalf, starting at one envelope a year on its Starter plan and scaling up on higher tiers. None of the other apps here offer a mail-in service.
Does receipt scanning replace bookkeeping software?
No. A scanner extracts merchant, date, and total from an image into a transaction; what happens to that transaction next — categorised records, an invoice, a tax filing — is a separate job. QuickBooks Solopreneur and Zoho Expense combine both in one subscription; Expensorr and Expensify's free tier do the capture and leave bookkeeping and filing to you or your accountant.
How many receipts can I scan for free each month?
It varies by app and changes without notice, so check the vendor's own page before relying on a number. As checked this week: Zoho Expense Free is 20 scans per user a month, QuickBooks Solopreneur Free is 2 a month, and Expensorr's free plan is 20 AI receipt scans or voice captures a month combined.
Track expenses without the data entry
Every Expensorr feature is free, including unlimited wallets, budgets, labels, splits, and 75 currencies. The free plan includes 20 AI receipt scans or voice captures a month. Pro lifts that limit for $4.99 a month or $39.99 a year and changes nothing else.
