Expensify is a good product aimed at a problem freelancers do not have. Its paid tiers exist to move an expense from the person who spent the money to the person who approves it and the system that reimburses it. If you are self-employed, you are all three people, and you are paying for the routing.

That is the whole reason this page exists. The question is not "what is cheaper than Expensify" but "what does a solo person actually need from an expense tool", and the answers diverge quickly.

What Expensify gives a freelancer for free, and what it does not

Expensify's own help documentation is clear about the split. A free personal account includes unlimited free SmartScans, forwarding receipts to receipts@expensify.com for automatic scanning, distance tracking in miles or kilometres, manual expense entry on web or mobile, and CSV export.

What it does not include, per the same page: "Categories, tags, automatic reimbursement, accounting integrations, and the Expensify Card all need a paid workspace subscription."

Read that list again as a freelancer. Categories and tags are not an advanced feature for you — they are the entire point of tracking expenses. If you cannot categorise, you have a folder of scanned receipts, not records. So the free tier is unlimited scanning with no way to organise the results, and organising them is a paid workspace.

What a workspace costs

From Expensify's pricing documentation, in USD:

Expensify also offers a free Submit workspace for individual employees who code expenses and submit them to an approver. Again: an approver. Not you.

For one person, Collect at $5 a month is not expensive in absolute terms. It is expensive relative to what you use, because what Collect and Control buy — multi-level approvals, policy enforcement, corporate card connections, ERP and payroll integrations, SSO — is a description of a finance department.

The five alternatives, with what they actually cost

All prices checked on 8 September 2026 from each vendor's own pricing page. Promotional discounts move constantly, so treat the list price as the number that matters.

Zoho Expense — the closest free replacement

Zoho Expense's free plan is $0 for up to three users and includes receipt capture with AI-powered OCR, expense reports, mileage expenses via GPS, multi-currency expenses, customer and project tracking, accounting integrations, a basic audit trail, and 5 GB of receipt storage. Standard is $4 per user per month billed monthly or $3 billed annually.

If you want an Expensify-shaped tool without the Expensify bill, this is the answer, and it is not close. The caveat is that Zoho Expense is still built around the submit-and-approve model, so as a solo user you are working inside a workflow designed for someone else's org chart. The free tier also caps receipt storage at 5 GB, which matters over several years of photographing everything.

Wave — free bookkeeping, paid receipts

Wave's Starter plan is $0 and covers unlimited estimates, invoices, bills, and bookkeeping records. The Pro plan is $190 USD per year billed annually and adds automatic bank transaction import, auto-categorisation, and unlimited digital receipt capture.

The split is worth noticing: on Wave, the free plan is the accounting and the paid plan is the receipt capture. That is the exact inverse of Expensify. If you want double-entry books for nothing and you are content to enter expenses by hand, Starter is a genuinely good deal.

FreshBooks — if invoicing is the real job

FreshBooks has no free tier. List prices are Lite at $23/month for invoicing up to 5 clients, Plus at $43/month for 50 clients with expense receipt scanning, and Premium at $70/month for unlimited clients. Team members are $11/month each on top.

Note where receipt scanning sits: Plus, not Lite. FreshBooks is an invoicing product with expense tracking attached, and it is priced as one. That is the right trade if chasing invoices is the part of freelancing that hurts. It is the wrong trade if you already invoice fine and just need your spending recorded.

QuickBooks Solopreneur — if your accountant asked for it

QuickBooks Solopreneur has a $0 tier for one user, capped at two invoices a month and with no accountant access. Lite is $20/month list, and Simple Start is $38/month list and adds accountant access. Intuit runs near-permanent introductory discounts, so the price you see on signup will be lower than the price you pay in month four.

The honest case for it: if your accountant already works in QuickBooks, handing them a QuickBooks file is worth more than any feature comparison on this page. Ask them before you decide anything else.

Expensorr — capture and records, without the workflow

Expensorr comes at this from the other end. It is not a cut-down business expense platform; it is a personal finance app that happens to be very good at the two things a freelancer actually repeats every week — getting a receipt into the system, and making sure it is findable later.

Photograph a receipt and the merchant, date, total, and a suggested category come back as a draft transaction you confirm. Or say what you spent and the amount, merchant, and category get parsed out of the sentence, which is the only capture method that works while you are walking out of a shop. Receipts can be JPG, PNG, HEIC, HEIF, PDF, DOC, or DOCX, and existing history imports from CSV, XLSX, or XLS.

The part that matters most for freelance work is the separation of two questions that most tools mash into one field. Category answers "what kind of expense is this" — Software, Travel, Meals, Equipment. Label answers "who or what was this for" — the client, the project, the trip. Adding your eighth client adds one label, not seven categories. Wallets do the other half: keep business money in its own wallet, and business totals stop requiring you to remember to exclude groceries. On cost: every Expensorr feature is free — wallets, budgets, labels, splits, recurring transactions, and 75 currencies. There is no per-user pricing, because there are no other users.

When Expensify is still the right answer

Three cases, and they are real.

  • You bill expenses to a client who reimburses you against a report. If a client or agency wants an expense report in a format their finance team recognises, Expensify produces exactly that, and its free Submit workspace exists for the person on the other end of that flow. Fighting it with a personal finance app is a waste of your afternoon.
  • You are a freelancer today and a small team next year. If you expect to add contractors and need approvals, cards, and accounting integrations, starting on the platform you will end on avoids a migration at the worst possible moment.
  • You need a corporate card tied to the policy. The Expensify Card is the mechanism that discounts Control pricing by up to half, and there is no equivalent anywhere else on this page. If card control is the requirement, this list is the wrong list.

What to check before you commit

  • Can you categorise and tag on the tier you are actually going to pay for? This is where Expensify's free personal account fails a freelancer, and it is worth checking on every product here.
  • Does receipt storage have a cap? Zoho's free plan is 5 GB. Photographs of receipts are small, but seven years of them are not nothing.
  • Can you get your data out? CSV export at minimum. Your records should outlive your subscription.
  • Is the promotional price the price? FreshBooks and QuickBooks both discount heavily for the first months. Budget the list price.
  • Does it match how you actually capture? The best expense tool is the one you use at the till, not the one with the longest feature list.

What Expensorr does not do

Stated plainly, because a comparison page that only lists strengths is not worth reading. Expensorr does not connect to your bank. Transactions are added by scanning, voice, spreadsheet import, or manual entry. Wave Pro and QuickBooks both import bank transactions automatically; if that is your requirement, they are the better tools and this is the honest answer.

Expensorr also does not file taxes, calculate deductions, or produce a submission to any tax authority. It keeps organised records with receipts attached and exports them. Your accountant or your tax software does the filing, and you should check your own situation with them.

And it has no team accounts, employee roles, or approval workflows — which is the whole reason it costs what it costs, and the whole reason it is not an Expensify replacement for a company.

The decision, in one line

If someone reimburses you, stay on Expensify. If you need books and invoicing, Wave at $0 or FreshBooks at $23 a month depending on how much invoicing you do. If your accountant lives in QuickBooks, use QuickBooks. If what you actually need is every receipt captured in ten seconds, tagged to the right client, and still findable in March, that is what Expensorr is for.
